Commonly asked questions about being a Student Club and Organization Advisor:

• What are the expectations of an advisor?
  1. Attend all student club and organization meetings (i.e., business meetings, executive board meetings, planning meetings, etc.)
  2. Attend and supervise the functions and special events in their entirety (i.e., "first in/last out").
  3. Have access to the college-maintained financial records of their student club or organization available in the OCC Bursar's Office and to review these records on a regular basis.
  4. Ensure that access to student club and organization social media names, usernames, and passwords for all social media accounts.
  5. E nsure to have knowledge of and adhere to the District and College policies and procedures that apply to student clubs and organizations including, but not limited to, the following:
     • ASOCC Student Club & Organization Handbook
     • CCCD Student Code of Conduct Board Policy & Administrative Procedure (BP/AP 5500)
     • CCCD Sexual Misconduct Board Policy & Administrative Procedure (BP/AP 5910)
  6. Ensure that the student club or organization adheres to all local statutes, state laws, and federal laws.
  7. Ensure that the student club or organization adheres to their constitution & bylaws.
  8. Mitigate risk and liability to the District and College.
  9. Be actively involved in the operations of the student club or organization (i.e. meeting agenda planning, minute recording & filing, membership issues, fulfillment of student club or organization mission & objectives, etc.).
  10. Advisors may not simultaneously serve as an advisor or co-advisor for more than two (2) student clubs or organizations unless an exception is requested in writing from and granted by the Inter-Club Council ("ICC").
  11. Be a mandatory reporter as outlined in CCCD Administrative Procedure 5910 (Sexual Misconduct) and am required to report any incidents involving, but not limited to, sexual misconduct, harassment, etc. to the College Title IX Coordinator.
  12. Have no conflict of interest as the advisor of this student club or organization (i.e. raising funds to serve a purpose for an organization which the advisor is actively involved in, if an advisor is an immediate relative of a student club or organization officer, etc.).
  13. Aware that if f found to be in violation of any District or College policies, District or College procedures, state laws, or federal law, which negatively impacts the mission or objectives of the student club or organization, the advisor will be disallowed from serving in the capacity of advisor.
  14. Understand that advisors are responsible to protect the interest of the College and the District.
• What if I am a Professional Classified employee?
  All classified staff are required by the District to fill out the Classified Club Advisor Request Form (PDF) and submit it to the Student Life & Leadership Department at studentlife@occ.cccd.edu.
• Can a Student Club and Organization that I advise host a meeting or event without me there?

  ​No, Advisors must be at all meetings, events, and activities.

• How can I sign-up for an Advisor Orientation if I am a new advisor?
  Currently Orientations are on hold. Please email the Student Life office with any questions. 
• If I am not a new advisor, do I need to attend the Advisor Orientation each semester?
  ​No, you do not need to attend the New Advisor Orientation. If you have any questions or concerns please contact the Student Life & Leadership Department at studentlife@occ.cccd.edu
